The Queensland Multicultural Centre (QMC) is one of Brisbane’s iconic exhibition and events venues. Located beneath the Story Bridge on the historic Yungaba site. Opening in 2012, the purpose built facility was established to promote unity in our society and a sense of belonging for all. QMC offers a broad range of spaces to suit both community and corporate needs and welcomes the opportunity for people to celebrate and share their diversity through performance and arts.

QMC is managed by BEMAC, Queensland’s most dynamic producer of multicultural arts. BEMAC has been successfully staging productions that fuel the diverse practice of artists from a variety of cultural backgrounds for over three decades.

We’re looking for someone with attention to detail and a can-do attitude to support our functions and events delivery.

 

About the Role 

The QMC Bookings and Functions Coordinator coordinates all aspects of the bookings at the Queensland Multicultural Centre in line with the Centre’s, and organisations, vision while complying with the venue’s policies and regulations and ensuring a positive experience for all venue hirers and attendees.

Key Responsibilities (not limited to):

  • Coordinate and complete all administrative tasks associated with the bookings from hirers, ensuring a high level of accuracy across all relevant information and documentation and compling with legislation, policy and procedures including workplace health and safety.
  • Accurately assess, plan and allocate resources according to event requirements ensuring a high level of attention to detail across all event elements including timely invoicing of all bookings, cancellations fees and any additional costs.
  • Manage and maintain a high level of accuracy in the event details and information presented in the event management software (Function Tracker) and across all event folders and documents.
  • Liaise and negotiate with hirers whilst providing a high level of customer service to assist them with their requirements to hold their events and activities at the venue – – supporting community groups wherever possible.
  • Liaise with and maintain positive professional relationships with venue hirers, contractors, security, caterers, staff and external & internal stakeholders including Government, Community and the private sector.
  • As required, act as a daytime Duty Manager including but not limited to providing venue tours for potential hirers, venue set up, hirer briefings on procedures and compliance of the venue prior to events.
  • Collect, record, handle and follow up on all reports received from Duty Managers and Technicians after every event held in the venue and liaise with the Venue Manager and the Facility Coordinator (if required) in resolving any relevant issues stated and organise repairs/replacements of damaged/broken equipment in a timely manner.
  • Ensure the cleanliness and orderliness of all venue spaces and equipment are kept to a high standard at all times.
  • Other duties as directed from time to time within your skills range and capacity.

 

Selection Criteria:

  • Bachelor of Event Management or similar
  • Minimum 3 years’ experience in a similar role with demonstrated experience with event management in a venue.
  • Demonstrated experience in event planning, strong time management and simultaneous coordination of multiple event elements with strong attention to detail.
  • Demonstrated ability to interpret general technical requirements and provide advice working in collaboration with the venue’s contractors to achieve successful outcomes for the hirer.
  • Demonstrated experience in the management of Front of House operations including box office, bar & kiosk and ushering.
  • Be readily available on call after hours and weekends as required to assist venue staff and hirers during events.
  • High Computer Literacy skills, including strong skills in MS Office Suite including Outlook, Powerpoint, Excel and Word)
  • Well-developed verbal and written communication and interpersonal skills.
